What is dental practice management software?
Dental practice management software is the system a practice runs its day on: it holds the appointment diary, the patient records, the treatment plans, the recalls and the payments, so the front desk, the clinicians and the practice manager all work from the same information. A good system replaces paper, spreadsheets and several disconnected tools with one login.
The category is also called a dental practice management system, dental PMS or dental management software. The core job is the same everywhere: get the right patient in the right chair at the right time, keep a clinical record that stands up to scrutiny, and make sure the practice is paid.
What should dental practice software do?
At a minimum it should manage appointments by treatment and clinician, keep complete patient records, support charting and treatment planning, remind patients and bring them back, and take payments. Beyond that, the useful extras are online booking, a patient portal, reports that show how the practice is performing, and support for more than one location.
Selection matters more than features on a list. Try the software on your own diary, with your own treatments, and ask the people who will use it every day. Our guide to choosing new dental practice software gives a checklist, and our shortlist of dental practice software compares the options.
Everything a practice runs on, in one system
- Diary that books by treatment
Every treatment has its own length and the clinicians who can do it, so appointments are booked at the right length with the right person. Book, move and cancel with availability rules and a cancellation policy.
- Online booking
Patients book on your practice website by practice, treatment and clinician, and the booking lands straight in the diary.
- Patient records and charting
Clinical notes, medical and treatment history, a tooth chart with conditions, BPE and full perio exams, all on the patient record.
- Treatment plans
Plans with options and revisions, acceptance and signature, templates and progress through to completion.
- Recalls and reminders
Recall types and intervals, due lists, a call list with outcomes, and reminders by email, SMS and WhatsApp.
- Payments
Take cards on your own screens, send pay links, hold a booking until it is paid, and see a ledger and refunds.
- Patient portal
Patients see appointments, balances, documents and forms, and can act for family members.
- Your practice website
A branded dental site with treatment and clinician pages, a blog and your own domain.
How do you choose the best dental practice management software?
Choose by testing the software against how your practice actually works, not by counting features. Start with the problems that cost you most, such as no-shows, paper charts or a clunky diary, and check how each system solves them. Then compare how the systems differ on the points in the table.

| Booking and payments | Cuts admin and missed appointments | Online booking and card payments built in |
| More than one location | Groups need one view and local control | Several practices under one organisation |
| Funding and claims | Must match how you are paid | Private, plan and NHS England courses; no US insurance claims |

Cost deserves its own look. Our guide to dental practice management software cost explains what is usually included and what is extra.
06Several practices
One organisation, many practices
If you run more than one practice, you need one view of the group and local control of each site. DentiPoint holds several practices in one organisation, with a head-office scope, per-practice closures, team roles with practice-level permissions and an audit log. The number of practices is set by your plan.
- Head-office view across the group
- Each practice keeps its own diary and team
- Roles set at practice level
How this appointment is funded
Private
Your own price list, per treatment and per practice.
Plan
Membership patients charged what they agreed, with the list price kept beside it.
Public
Public schemes too — for example an NHS course of treatment priced by band, with exemptions recorded.
Where does DentiPoint work, and what does it not do?
DentiPoint is built for practices in the UK and works for practices elsewhere. The UK has its own page for NHS England specifics: see dental practice management software for UK practices. Outside the UK the same diary, records, recalls, payments and portal apply.
It helps to be clear about the limits, so you can decide quickly:
- No US insurance claims. DentiPoint does not process insurance claims or work with CDT billing codes, so a practice that bills insurers needs a claims system alongside it.
- No FP17 submission. For NHS England it prepares the FP17 data sheet in Compass order but does not submit it.
- Images are uploaded and viewed. There is no X-ray capture or DICOM viewer. See dental imaging in DentiPoint.

Dental practice management software: FAQs
What is the best dental practice management software?
The best system is the one that fits how your practice works, which you can only judge by trying it on your own diary and treatments. Shortlist two or three, test each for a week, and ask the whole team. DentiPoint offers a free trial.
Is dental practice management software cloud-based?
Many systems now are, and DentiPoint is. It runs in a web browser, so there is no server to look after and updates arrive without installs. Older systems may still run on a server in the practice.
Does DentiPoint handle US insurance claims?
No. DentiPoint does not process insurance claims or CDT billing codes. If your practice bills insurers, you will need a claims system alongside it.
Can it run more than one practice?
Yes. Several practices can sit under one organisation, each with its own diary and team, with a head-office view across them. The number is limited by your plan.
Does it include dental charting?
Yes. It has a tooth chart with conditions, BPE and full periodontal exams, kept on the patient record. See dental charting software.
Is there a free trial?
Yes. You can start a free trial and try the diary, records and booking before you subscribe.
